You finished a strong letter, clicked upload cover letter, and the preview shows hieroglyphs. Or worse: you pasted the letter into the resume field and now the ATS thinks your name is "Dear Hiring Team." What is going wrong

  • Multi-column Canva export that parses as nonsense

The practical fix: format first

Safe formats

  • .docx or text-based PDF (exported from Google Docs / Word, not a screenshot)
  • Single column
  • Standard fonts (Arial, Calibri, Times, Georgia)
  • Normal margins
  • No text boxes, icons, or skill bars in the letter

When you submit a resume in the same session, use a matching pattern: Lastname_Company_Resume.pdf. Consistent naming helps you and sometimes recruiters.

Upload cover letter: field-by-field reality

Greenhouse / Lever / Ashby

Often: resume upload + optional cover letter upload or text box. Use the labeled cover letter control. If optional and you have nothing new to say, skip it and invest in tailoring resume to job description.

Workday

Flows vary. You may see a documents step with separate resume and cover letter uploads, or a single attachments area. Read the labels. Do not attach the letter twice. After upload, reopen the preview if Workday shows one.

LinkedIn Easy Apply

Sometimes a letter field, sometimes not. If there is only a resume upload, do not force a letter into that slot.

Email applications

  1. Open both PDFs locally and skim for the wrong company name

Common traps

Uploading a portfolio PDF as the cover letter. Wrong artifact.
